For me you get more energy when you get people moving around. So using flips, post-its and assigning tasks can get the team engaged.
Prep: Flip Charts with categories that problems can be assigned to. This could be done before if there’s a log of project issues. or, you could add the headings as part of Part 2,
Part 1: Individual Work What and where in the project did things get difficult? • Headline on a post-it ? Flip Chart • Context and background summary on sheet of A4. • List the implications and actions to work around the problem.
Part 2: Small groups, gather the similar headings onto one flip chart. (Here’s where you can categorise the flip chart.)
Part 3a: Could be done as small groups with a flip chart each, or full group discussion. If its full group use a timer to limit the time spent on each. Go through the problems and do a risk exercise. What is the likelihood of this happening on a future project.
Part 3b: Put those categorised as unlikely to one side. Those listed as highly likely are the ones to work on, so assign to a group.
Part 4: Each group work through the context and background and come up with a way to manage and mitigate this risk for future projects.
Part 5: Separate groups to pick holes in the risk management plan. Lot’s of what if’ing. Make amendments to the plan (good to use different colours here.
Part 6: Prioritise which plans are to be formally fixed into a procedure/process for the next project. Assign and owner and a challenger.

Hi Caroline, I often use a task, process, behaviours pyramid structure. So flip charts with each of the headings on with 2 columns headed 'what went well?' and 'even better if'. They rotate around in groups to identify some key themes and examples under each heading. You can then break into smaller groups of people to explore each of the flips in more details and pull together their lessons. I do think groups often focus on the even better if, but they can learn so much from what went well. Let me know if you need any more detail. [email protected] |
